Senior - Account Manager Sales Operations

Summary

The Senior Sales Operations Specialist plays a key role in supporting the commercial activities of Scope by ensuring the efficient execution of operational, contractual, and administrative processes across the full client lifecycle. The position combines responsibilities in contract administration, sales support, tender and RFP coordination, third-party due diligence processes, and support for ScopeOne, the company’s investor platform.

Working closely with Sales, Legal, Risk Management, Customer Support, IT, Finance, and other internal stakeholders, the successful candidate will serve as a central coordination point, ensuring that client-related processes are executed accurately, efficiently, and in a timely manner. The role requires a highly organized and detail-oriented professional who can independently manage both strategic projects and routine operational activities while maintaining a strong service-oriented mindset.

In addition to supporting day-to-day operations, the Senior Sales Operations Specialist will actively contribute to the continuous improvement of internal processes, helping to streamline workflows, improve information sharing between teams, and increase the efficiency of systems and tools used across the organization.

Duties & responsibilities

Tender, RFP & Third-Party Due Diligence Support

  • Coordinate and prepare responses to Requests for Proposal (RFPs), tenders, vendor assessments, and third-party due diligence questionnaires.
  • Collect, review, and consolidate information from Sales, Risk Management, Compliance, Legal, IT, Finance, and other internal stakeholders.
  • Ensure timely and accurate submission of tender documentation, questionnaires, and supporting materials.
  • Maintain a repository of standard responses, supporting documents, policies, certifications, and reference materials.
  • Support the continuous improvement and standardization of tender and questionnaire response processes.
  • Monitor upcoming renewals and requests from existing supplier and procurement platforms.

Supplier Platform Management

  • Maintain company profiles across supplier, procurement, and vendor management platforms.
  • Coordinate new registrations and periodic updates of company information, documentation, certifications, and supporting materials.
  • Monitor platform requirements and ensure compliance with submission deadlines.
  • Serve as an operational contact point for platform-related administrative activities.
  • Identify opportunities to simplify and streamline supplier platform maintenance processes.

Process Improvement, Automation & Operational Excellence

  • Identify opportunities to improve operational efficiency, eliminate manual work, and streamline existing processes.
  • Participate in projects focused on workflow optimization, process standardization, and automation.
  • Document and maintain operational procedures, guidelines, and best practices.
  • Support the implementation, testing, and optimization of internal tools and business applications.
  • Contribute to improving data quality, data governance, and information flow between departments.
  • Collaborate with stakeholders across the organization to identify operational bottlenecks and implement practical solutions.
  • Support initiatives aimed at enhancing cooperation between Sales Operations and other business functions.

Contract Administration Support

  • Provide administrative support in the preparation, execution, and maintenance of client contracts and related commercial documentation.
  • Support contract signature collection processes and ensure executed agreements are properly archived and maintained.
  • Assist with maintaining accurate contract-related records within internal systems and databases.
  • Support contract-related follow-up activities and documentation requests from internal stakeholders.
  • Contribute to initiatives aimed at improving and automating contract administration processes.

ScopeOne Operational Support

  • Provide operational support related to ScopeOne activities.
  • Assist with onboarding activities by coordinating documentation, follow-up actions, and internal stakeholder involvement.
  • Support the distribution of ratings and related content through the platform.
  • Assist with user account administration, access management, and data maintenance tasks.
  • Coordinate routine operational requests and ensure timely routing to the appropriate teams.
  • Gather user feedback and operational requirements and support discussions with IT and Customer Support teams regarding potential improvements.
  • Participate in initiatives aimed at enhancing and streamlining ScopeOne-related processes.

Professional & personal qualifications

  • 3-5 years of professional experience in Sales Operations, Sales Support, Business Operations, Tender Management, Bid Management, Contract Administration, Account Support, or a comparable role.
  • Previous experience preparing RFP responses, tender submissions, third-party risk questionnaires, due diligence documentation, or supplier onboarding materials is strongly preferred.
  • Experience working with supplier, procurement, or vendor management platforms is highly desirable.
  • Experience in professional services, financial services, consulting, SaaS, or B2B environment would be an advantage.
  • Excellent Microsoft Office skills, particularly Excel, Word, PowerPoint, and Outlook.
  • Strong ability to work with CRM systems and business applications.
  • Comfortable working with online platforms, databases, and digital tools.
  • Ability to organize and manage large volumes of information with a high degree of accuracy.
  • Experience with workflow optimization, process documentation, or automation initiatives would be an advantage.
  • Highly detail-oriented with a strong focus on quality and accuracy.
  • Hands-on, pragmatic, and service-oriented mindset.
  • Strong organizational and project coordination skills.
  • Ability to work independently and take ownership of assigned responsibilities without requiring close supervision.

  • Master´s degree, preferrable in economics, finance, communications or marketing
  • Fluent in English and at least one another European language

The compensation range disclosed may encompass multiple title levels (Scope internal levels of seniority). Your actual compensation will depend on a variety of factors, including but not limited to your individual experience, education, and seniority, and the final salary will be determined during the interview and evaluation process.

Pay Band:  Senior Specialist - Business Management
Minimum:  92,400.00 PLN
Maximum:  135,000.00 PLN
